  • CV screening and applicant management automation
  • AI-powered knowledge base and query systems
  • Enterprise operations dashboards
  • Property management platform integrations (including Inventory Hive, Zoho, and email providers)

  • Custom workflow automation

All systems are developed and tested in a live production environment within our own property services operation before being offered to clients.

3. ELIGIBILITY

Our services are intended for business-to-business use within the property management industry. By using our website and services, you represent that you are at least 18 years of age and are acting on behalf of a business entity or in a professional capacity.

4. USE OF THE WEBSITE

You agree to use our website only for lawful purposes and in accordance with these Terms. You agree not to:

6. DATA HOSTING AND INFRASTRUCTURE

Our systems and client data are hosted on UK-based cloud infrastructure using Amazon Web Services (AWS) UK region. This ensures:

  • All client data remains within the United Kingdom
  • Compliance with UK data residency expectations
  • Enterprise-grade security, scalability, and reliability
  • Full alignment with UK GDPR requirements for data storage

We maintain a GDPR-compliant architecture across all systems we build and deploy.

7. INTELLECTUAL PROPERTY

All content on this website, including text, graphics, logos, design elements, and software, is the property of Property Automations AI and is protected by intellectual property laws. You may not reproduce, distribute, modify, or create derivative works from any content on this website without our prior written consent.

Any custom systems, workflows, or automation solutions we build for clients remain our intellectual property unless otherwise agreed in a separate written contract. Clients receive a licence to use the systems as specified in their individual service agreement.

8. CLIENT ENGAGEMENTS AND DATA PROCESSING AGREEMENTS

Specific terms for client engagements, including scope of work, pricing, deliverables, timelines, and service level agreements, are governed by separate written agreements entered into between Property Automations AI and each client.

Where we process personal data on behalf of a client (acting as a data processor), we will enter into a Data Processing Agreement (DPA) in accordance with Article 28 of the UK GDPR. The DPA will set out:

  • The nature and purpose of the processing
  • The types of personal data processed
  • The duration of the processing
  • The obligations of both parties regarding data protection
  • Technical and organisational security measures in place
  • Sub-processor arrangements and approvals
  • Procedures for data subject requests, data breaches, and data return or deletion upon termination

No client data will be processed without an appropriate DPA in place.

9. DATA TYPES AND HANDLING

In the course of delivering our automation services, we may process the following types of data on behalf of clients:

  • Property addresses, tenancy details, and landlord information
  • Clerk personal details, contact information, and availability
  • Property inspection photographs and report content
  • Invoices and financial documents
  • DBS check status and training progress records
  • Keys and access information
  • Communication records (emails, messages, notifications)

All such data is handled in accordance with our Data Processing Agreements, stored on UK-based infrastructure, and subject to strict access controls and security measures.

10. API INTEGRATIONS AND THIRD-PARTY CONNECTIONS

Our automation systems connect to third-party platforms using secure OAuth authentication protocols and standard API connections. This means:

  • We do not store your third-party platform usernames or passwords
  • Authentication is handled securely through industry-standard token-based protocols
  • Connections can be revoked by you at any time through the respective platform's settings

Platforms we commonly integrate with include Inventory Hive, Zoho, email providers, Telegram, and various property management tools. Your use of these platforms remains subject to their respective terms and conditions.

11. CONFIDENTIALITY

We treat all client information, business data, and operational details shared with us during the course of our engagement as strictly confidential. We will not disclose your confidential information to third parties without your consent, except where required by law or where necessary to deliver our services using agreed third-party platforms (in which case appropriate data processing agreements and security measures will be in place).

12. DATA PROTECTION

We process personal data in accordance with our Privacy Policy and applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Property Automations AI is registered with the Information Commissioner's Office (ICO) as required by UK law. 13. LIMITATION OF LIABILITY

To the fullest extent permitted by law:

  • Our website and its content are provided on an "as is" and "as available" basis without warranties of any kind, whether express or implied
